For questions about this policy or your data, contact us at: privacy@docready.co.uk

What data we collect and why

When you use DocReady, we collect:

  • Email address - to sign you in, so your progress is saved and you can come back to your form and your PDF, and to warn you before we delete your data
  • Financial and personal information you enter into the form - including income, assets, liabilities, and property details. This is the information required by Form E and is collected solely to generate your Form E
  • Payment information - processed directly by Stripe. We do not store your card details. What Stripe keeps, and for how long, is under “How long we keep your data” below
  • Page views - when you visit our home page, our guides or the “before you begin” page, we count the visit: the page, the site that sent you there and your browser. Nothing is stored on your device to do this, and the count does not identify you. We do not count views of your form or of the sign-in pages
  • How you found us - what brought you to DocReady, such as a search engine, an AI assistant, a campaign, or none (direct). We record it on your form when you create it and never change it afterwards
  • Steps your form reaches - a record that your form reached one step of the journey: created, a section started or completed, review reached, checkout started, payment made, PDF downloaded. Each carries the step, the section, an id for your form, how you found us and when it happened. It never carries anything you type into your form, any amount, your name or your email address

We do not collect any data beyond what is necessary to provide the service and to see, in total, where people leave it.

Legal basis for processing

We process your data on the basis of contract - you provide your information in order for us to generate your Form E, and processing it is necessary to deliver that service.

We count page views, and record how you found us and the steps your form reaches, on the basis of our legitimate interests: knowing what brings people to DocReady and where they leave it, so we can improve the service. None of it identifies you, and none of it carries your form answers.

How we use your data

We use your data only to:

  • Save your progress through the form
  • Generate your Form E PDF
  • Make your PDF available to download after payment - Stripe sends you an invoice by email
  • Warn you before we delete your data
  • Count, in total, how many people reach each step of the service, and what brought them

We do not sell your data. We do not use your data for marketing. We do not share your data with third parties except as described below.

Third parties we work with

  • Supabase - stores your form data securely on servers located in Ireland (EU). Encrypted at rest.
  • Stripe - processes your payment. Governed by Stripe’s own privacy policy.
  • Vercel - hosts the DocReady application.
  • PostHog - receives the page views and the records of the steps your form reaches, described above, on servers in the EU. It sets no cookies and stores nothing on your device for us, and it never receives your form answers, your name or your email address.

All third-party providers handle your data in accordance with GDPR.

How long we keep your data

  • Paid forms - your form answers and your email address are deleted from our systems 90 days after you pay. We email you 7 days before, naming the date, as a reminder to download your document. Nothing you do after paying moves that date.
  • Unpaid forms - if you have not paid, your form answers and your email address are deleted 90 days after your last saved change. We email you 7 days before, naming the date.
  • Payment records - Stripe, our payment processor, keeps the amount, the date, a reference to your order and the email address you gave at checkout for 7 years, as HMRC rules require. These records do not contain your form answers.
  • Steps your form reaches - PostHog keeps these records after your form is deleted, but nothing links them to you any longer.
  • Backups - once deleted, your data may remain in encrypted backups for up to 7 days.

Your rights

Under UK GDPR you have the right to:

  • Access the data we hold about you
  • Correct inaccurate data
  • Delete your data - email privacy@docready.co.uk and we will action your request within 30 days
  • Object to processing
  • Complain to the ICO at ico.org.uk if you believe we have handled your data unlawfully

Cookies

We use only essential cookies required to keep you logged in to your form session. We do not use advertising or analytics cookies.

We will notify you by email if we make material changes to this policy.
